Abstract
Inconsistent staff performance in making appointment reminders and follow-up calls contributed to workflow variability and reduced patient engagement in outpatient primary care settings. This DNP Quality Improvement Project intended to enhance staff knowledge, confidence, and consistency in implementing standardized reminder and follow-up call protocols using an evidence-based educational intervention. A quantitative pre/posttest design was used to evaluate changes in staff competency, supported by descriptive and comparative analyses of test scores, percentage changes, and qualitative feedback. Seven clinic staff members attended the PowerPoint education session, and pretest and posttest data were used to address a practice-focused question about standardized communication workflows. The project’s findings indicated measurable improvement across all areas, with six participants increasing their scores by two points (40%) and one participant increasing by one point (20%). Confidence levels also improved across all four competency areas, indicating enhanced alignment with evidence-based communication practices and reduced workflow inconsistencies. Qualitative feedback highlighted improved clarity regarding call scripts, documentation expectations, and escalation procedures. The results of this project will inform clinic leadership about the effectiveness of structured staff education in improving workflow reliability. These results may support broader organizational adoption of standardized reminder and follow‑up processes to enhance patient engagement and continuity of care.
